But, like any powerful new tool, whether it’s a super-fast car or a brand-new power drill, we need to learn how to use it safely. If we’re not careful, AI can also bring some new kinds of headaches and risks.
Many companies are now asking two big questions: First, if we’re making or using AI, where do we even start and stop with keeping things safe? And second, what rules, training, and security steps do we need to protect our people, our information, and our company from mistakes, tricky AI systems, or even bad guys trying to cause trouble?
AI: A Super Helper with a Catch?
Think of AI as a fantastic new invention. It can boost businesses and help them achieve great things. But, at the same time, it can open doors to new kinds of problems we haven’t seen before. It’s a bit like the internet – it connected the world in amazing ways, but it also brought new challenges like viruses and online scams.
Lila: “John, when you say ‘risks’ with AI, what exactly are we talking about? It sounds a bit scary!”
John: “That’s a great question, Lila! It’s not about being scared, but about being smart and prepared. The risks can pop up in a few different ways. For example, if AI is built without thinking about safety first, or if people use AI tools without understanding the dangers, or even if criminals start using AI for their schemes. If companies are creating their own AI tools or adding AI smarts to products they already have, they need to think about security from the very first step. If they don’t, they could run into some serious trouble:
- Weak Foundations (Lack of security-by-design): If AI models are built without strict safety rules or someone watching over them, they can be easier for others to mess with. Think of it like leaving your digital doors unlocked – someone could sneak in and change things or feed the AI bad information.
- Ignoring the Rulebook (Regulatory gaps): New rules and guidelines are popping up to make sure AI is used responsibly. We’re seeing things like the EU AI Act, and guidelines from groups called NIST and ISO.
Lila: “Hold on, John. EU AI Act? NIST AI Risk Management Framework? ISO 42001? That all sounds super technical and complicated!”
John: “It can sound that way, Lila! Think of them like official safety certifications or building codes, but for AI. The EU AI Act is a set of laws from Europe about how AI can be used. If companies don’t pay attention to these, they could face legal problems or get a bad reputation.” - Bad Ingredients (Biased or corrupted data): AI learns from information, or ‘data’. If the data used to teach the AI is poor quality, unfair, or even deliberately messed up by someone, the AI won’t work correctly. It might give wrong answers or make unfair decisions. It’s like trying to bake a cake with rotten eggs – the result won’t be good!
Using AI Tools? Here’s How to Be Smart About It!
Even if a company isn’t building its own AI from scratch, chances are they’re using AI in many ways – sometimes without even knowing it! It’s like using a new kitchen appliance; you’d want to read the instruction manual to use it safely and effectively, right?
Many online tools and services that businesses use every day now have AI built into them. These often handle important and private company information.
Lila: “John, you mentioned ‘SaaS platforms’ and ‘generative AI tools.’ Can you break those down for us beginners?”
John: “Sure, Lila! SaaS stands for ‘Software-as-a-Service.’ Think of it like renting software online instead of buying a disc and installing it on your computer. Lots of businesses use SaaS for things like email, customer management, or project planning, and many of these now have AI features. Generative AI tools are the really popular ones right now – these are AI systems that can create new things, like writing articles, making images, or even composing music, just from a simple request. ChatGPT is a famous example. The risk here is that employees might use these cool new generative AI tools and accidentally type in secret company information, which could then leave the company’s control.”
When how AI is used isn’t properly managed or understood, companies can face some big issues:
- Secret AI Agents (Shadow AI tools): Sometimes, people or departments in a company might start using new AI apps without telling the IT department or getting approval. This is called ‘Shadow AI.’ It’s like employees bringing in their own tools from home without checking if they’re safe or allowed. This creates security blind spots for the company.
- Missing Manuals (Policy gaps): Many businesses haven’t yet created clear rules – sometimes called an Acceptable Use Policy (AUP) – for how employees should use AI tools.
Lila: “An AUP? Is that like a ‘dos and don’ts’ list for AI?”
John: “Exactly, Lila! An AUP for AI would explain what’s okay and not okay when using AI at work, especially when it comes to company data. Without these rules, there’s a higher chance of information leaking out, privacy being broken, or other problems.” - Local Laws Matter (Regional laws and regulations): Different cities and countries are starting to make their own specific rules about AI. For example, New York City has rules about AI used in hiring, and Colorado has its own AI guidelines. If AI is used carelessly for important things like hiring people or making financial decisions, it could lead to legal trouble.
Uh Oh! When Criminals Use AI Smarts
AI is a powerful tool, and just like honest businesses can use it to do good things, unfortunately, cybercriminals can also use it to become more effective at their nasty schemes. It’s like how locksmiths invent better locks, and then burglars try to find new ways to pick them. We need to be aware of how AI can make these threats even trickier:
- Super-Personalized Scams (Hyper-personalized attacks): AI can quickly go through tons of information about a person or a company. Criminals can use this to create scam emails or phone calls that look incredibly real and personal, making them much harder to spot.
- Fake Videos and Voices That Look Too Real (Increasingly sophisticated deepfakes): You might have heard about ‘deepfakes’. These are AI-generated videos or voice recordings that can make it seem like someone said or did something they never actually did.
Lila: “Deepfakes? John, those sound really scary! How can we even tell what’s real anymore?”
John: “They are a serious concern, Lila. Imagine getting a video call from your boss urgently asking you to transfer money, and it looks and sounds exactly like them… but it’s actually a fake created by AI. Scammers have already tricked people out of millions this way. It means we have to be extra cautious.” - Bosses in the Bullseye (Executive and board awareness): Top bosses and company leaders are often the main targets for these advanced scams. This is sometimes called ‘whaling’ – think of it like spear-phishing (highly targeted scam emails), but aimed at the ‘big fish’ like executives or other important people in a company. Criminals use these AI-powered fake messages hoping to trick them into giving away sensitive information or money.
The Master Plan: AI Safety Isn’t a One-Time Job!
So, how do companies deal with all these different AI risks? The best way is to think of AI safety not as a single task you finish and forget, but as an ongoing cycle – like a fitness plan you stick to, always adjusting and improving. AI technology changes fast, and so do the threats and rules around it. This ‘life-cycle approach’ isn’t a straight line; it’s more like a circle that keeps going, helping companies stay on top of things.
This ongoing plan combines strategic thinking, advanced tools, getting the whole workforce involved, and always looking for ways to get better. Here’s how each part of the cycle contributes:
Step 1: Know What You’ve Got & Make a Plan (Risk Assessment and Governance)
This is where it all begins – understanding what AI is being used and setting up the rules of the road.
- Take Inventory (Mapping AI risk): First, companies need to figure out all the AI tools they’re using, both ones they’ve built themselves and ones they get from other companies. It’s like making a list of everything in your house to see what needs protecting. This isn’t just about looking at computer code; it’s about understanding how AI changes the way the company works, how information flows, and what new safety issues might pop up.
- Follow the Guidebooks (Formal frameworks implementation): Remember those official guides like the EU AI Act, NIST, and ISO we talked about? Companies should use these as their playbook. They also need to create and enforce their own clear Acceptable Use Policy (AUP) for AI, as Lila pointed out, to tell employees how to handle data properly.
